Privacy Policy


White Sea's Personal Data Protection Policy ("Policy") has been prepared to explain (a) how White Sea processes personal data as the Person Responsible for the Processing of Personal Data (this includes data relating to an identified or identifiable person, for example you and your employees) and (b) your rights and obligations in relation to such processing.

As of 25 May 2018, this processing is subject to the Data Protection Regulation EU 2016/679 of 27 April 2016 (GDPR).

Scope


This Policy applies to all current and future members of White Sea and all participants of White Sea events. In addition, this Policy applies to data processing operations performed by White Sea in its activities such as consulting, communication, research and interest representation services. The Policy should also be shared with your employees and other representatives and made available to them when necessary.

Definitions

  • Personal Data: Any data that allows the direct or indirect identification of a natural person.

  • Processing of Personal Data: Operations performed on personal data, including collection, recording, use, transmission, updating, storage or communication.

  • Person Responsible for Processing Personal Data: The legal person who determines the purposes of processing personal data and the methods used.

  • Data Processor: The legal person who processes personal data on behalf of the Person Responsible for Processing Personal Data.

Privacy Policy

1. What information is collected by White Sea?
White Sea collects and processes personal data as appropriate, sufficient and necessary to achieve specific and predetermined purposes.

White Sea collects general identification information, including name, title, position, company name, email address (business or personal), and telephone number. We may also collect any information directly provided by individuals (for example, via email or presentation of a business card).

Apart from these, White Sea may collect additional information according to the following special categories.

  • If you are a Customer or Event Participant:
    White Sea collects your identification information (those mentioned above and your IP address if necessary), records your education and experience information, your profession and position, your participation in our events and your participation in working groups, if any.

  • If you are an Organization or Partner:
    White Sea collects your identification information (name, phone number and professional email address), profession and position. It also collects other information necessary to provide services.

2. How is personal data collected by White Sea processed?
White Sea processes personal data fairly and lawfully. The processing of personal data is done for specific and legitimate purposes.

2.1. Processing of Personal Data
In general, White Sea processes your personal data only for a specific purpose and based on your consent or our legitimate interests.

2.2. Legitimate Interest
White Sea has the right to process personal data to carry out its activities related to the investment sector. This includes communicating and meeting regulatory requirements.


3. How are your Personal Data protected, changed and updated?

3.1. Security of Personal Data

White Sea takes appropriate technical and organizational measures to ensure the security of your personal data. This ensures that the data is protected against unlawful destruction, loss, unauthorized disclosure or access.


3.2. Storage of Personal Data
White Sea stores your personal data only for as long as it is necessary for the stated purposes. Longer storage may be required to fulfill legal obligations.


3.3. Updating Personal Data
White Sea takes the necessary precautions to ensure that your personal data is accurate, complete and, where necessary, up-to-date.


3.4. Sensitive Personal Data
White Sea shares voluntarily provided sensitive personal data only with relevant team members.


3.5. Sharing and Transfer of Personal Data
White Sea only shares your personal data with specific recipients, including service providers and legal authorities. Furthermore, when transfers of your data outside the European Economic Area are required, data protection standard agreements approved by the European Commission are concluded.
